What to Look for in Guest Experience Software

July 14, 2026

Most guest experience platforms are built for chains and skinned to look independent. Here is what to actually check before signing a contract for your property.

The question every independent GM asks eventually

"Will this make our hotel feel generic?" It is the single most common concern independent and boutique hotel owners raise when evaluating guest experience technology, and it is a reasonable one. Most vendors in this space were built for large chains and franchise groups, then adapted for smaller properties by changing a logo and a color scheme. Guests at an independent luxury property can tell the difference between a platform designed around their hotel and one designed around a chain, then licensed to hundreds of properties that all look the same.

This guide is not about any single vendor. It is a checklist of what to actually verify before signing a contract, based on the questions that tend to surface only after go-live, when they are much more expensive to fix.

1. Whose brand does the guest actually see?

Ask specifically: when a guest opens the platform, whose logo, colors and voice do they see? Some platforms present a "powered by" badge, a generic app icon, or default color schemes that are only partially customizable. For an independent property competing on brand identity, this matters more than almost any feature on the spec sheet. Ask for a live demo configured with a fictional property's branding, not a generic template screenshot, before assuming full white-labeling is included.

2. Does it integrate with your PMS, or replace part of it badly?

Guest experience software should sit alongside your existing PMS and POS systems, not force you to duplicate data entry or maintain two separate sources of truth for reservations. Ask which specific PMS and POS systems the vendor has live integrations with today, not on a roadmap, and ask to speak to a reference property using the same systems you use.

3. How much staff training does it actually require?

A platform that requires weeks of training before staff are comfortable is a platform that will get partially adopted and quietly abandoned during a busy season. Ask for the realistic onboarding timeline from a property similar in size to yours, not the vendor's best-case number, and ask what happens when a new staff member joins mid-season.

4. Is pricing per seat, or built for how hotels actually staff?

Per-seat pricing punishes exactly the behavior you want: giving every staff member across reception, F&B, spa and housekeeping their own account so requests route directly to them instead of bottlenecking through the front desk. Ask directly whether staff accounts are unlimited or metered, since this materially changes both the cost and how widely the platform actually gets used inside the hotel.

5. What happens to guest data, and who owns it?

Guest profiles, preferences and stay history are some of the most valuable data an independent hotel builds over time. Confirm the platform is GDPR compliant if you serve European or UK guests, ask explicitly whether your guest data is used for anything beyond your own property's reporting, and confirm you can export it if you ever switch vendors.

6. Can you see proof, not just claims?

Case studies written by a vendor's own marketing team are a starting point, not proof. Ask for a reference call with a property of comparable size and guest profile to yours, and ask that property directly about the numbers that matter to you: staff time saved, service speed, and guest adoption. Hotel Sunce and Hotel Zlatibor are two properties that have published specific, verifiable results rather than general claims, which is the standard worth holding every vendor to.
